Privacy Policy for Patrons

The Westovian Theatre Society, a registered Charity (number 260244) is committed to protecting your privacy and complying with the Data Protection Act 1998 and the General Data Protection Regulations of 25 May 2018.

This policy sets out the basis by which we collect, use and disclose the personal data of our patrons, as well as your rights in respect of such personal information.

 

 

How we will collect your information

What type of Personal Data do we collect?

 

Your name, address, email address and telephone number.

 

We will not utilise your personal information for anything other than what you have given us consent for.

 

We may share your personal information where we are under a legal obligation to do so, for example where we are required to share information under statute, to prevent fraud and other criminal offences.

 

How we will use the information we collect?

 

We use that information in a number of ways.

 

1 – To let you know about things that you have asked us to tell you about;

2 – To let you know about other similar events and activities that may be of interest to you;

3 – To let you know about opportunities to support us;

4 – To contact you if we need to obtain or provide extra information;

5 – To complete your booking on ticketing systems (e.g. Ticketsource);

6 – To make sure our records are up to date and to check that you are still happy for us to contact you;

7 – To help you navigate our website by using cookies.

 

We do not share our email list or other collected information with other organisations and businesses unless where required by law or to carry out our services to you.

We put in place reasonable security measures to protect any unauthorised access or damage to, or disclosure or loss of, your personal information.           

 

Information we have access to

 

Tickets – We use an external organisation, Ticketsource, to book ticket(s), purchase programmes and provide donations. Please see Ticketsource’s Privacy Policy for further information (www.ticketsource.co.uk).

 

The Visitor Information Centre, South Shields acts as a ticket agent on our behalf. They, as well as our Box Office staff, have access to the Ticketsource system and any of your personal information held within the system. Selected Westovian Theatre Committee members also have access to your personal information stored on Ticketsource to enable us to analyse and report on ticketing data. Wherever possible, this analysis and reporting uses anonymised personal information. Please be assured that we will not share your personal details with other organisations and companies without your consent.

 

If you choose to receive emails about future events through Ticketsource, your details may be passed onto our Information Manager to be added to our mailing list.

Website – We use cookies on our website to give you the best experience on our website. You have the right not to accept these or turn them off in your browser’s settings, although you may find this affects the functionality of our website. Cookies may store your personal information and be used to personalise content and advertising, to provide social media feature and to analyse our traffic.

We have various forms to contact us on our website, where you can choose to submit an email query to The Westovian Theatre Society to be dealt with by selected Westovian Theatre Society members.

 

This Privacy Notice does not cover the links within our website to other websites. You need to be aware that we do not control these other websites or their business practices, and they are not governed by this privacy notice. If you have questions about how those sites use your information, please contact them directly. We also advise you that we will not be responsible for their actions. 

 

We will not be responsible or otherwise liable for any use or disclosure of your personal information by a third party to whom The Westovian Theatre Society is allowed to disclose such information under this privacy notice.

What are cookies and how will we use them?

We use cookies to collect visitor statistics, by using the Google Analytics function, to help us make continual improvements to our website. This includes information on how many people have accessed the website, what pages they have viewed, how long they spend browsing the website, what technology they use (so that we can identify if our website isn’t working correctly for specific technologies). This programme also anonymously tells us how people are accessing our website (i.e. whether from a search engine) and whether they have visited previously, to enable us to develop our services for you.

 

We do not receive any personal information that can identify you from cookies used in online advertising. This will not stop you seeing adverts, but they will no longer be specific to you. We use Google AdSense to serve adverts on our website.  

 

How long will we keep your information?

 

We will not keep your personal information for longer than necessary for our purposes. It will be regularly reviewed and maintained, and any records no longer required will be deleted. Information that does not need to be accessed on a regular basis, but which should still be retained, will be archived appropriately and securely. Information held for marketing purposes will be kept securely with us until you let us know that you no longer wish to receive this information.

 

Please note a copy of all correspondence may be kept for future reference but will not be disclosed without your consent outside of The Westovian Theatre Society or our associated organisations if necessary (Ticketsource; Visitor Information Centre, South Shields).

 

However, you can ask us to remove your personal information from our records at any time. Please see section 9 on how to do this.

 

Your Rights

 

You can request a copy of the information that we hold about you at any time by contacting us, please see below section 9 to see how to do this. This is called a subject access request (SAR). We will take reasonable steps to confirm your identity before providing you with details of any personal information we may hold about you.

Please let us know if your personal information changes it’s important we have up to date and accurate information, please see section 10 on how to do this.

All our e-newsletters offer the option to be removed from the mailing list at any time by contacting news@westovians.co.uk, or using the details in section 10 below.

If you wish to raise a complaint about how we have handled your personal information, you can contact us (see section 10 below) so we can investigate. If you are not satisfied with our response or believe we are processing your personal details outside of the law, you can raise a complaint with the Information Commissioner’s Office (https://ico.org.uk).

 

Changes to this Privacy Notice

 

We may amend this privacy policy from time to time, for example to keep it up to date or to comply with legal requirements. If there will be any significant change to the use of your personal information in a manner different from that stated, we will seek your consent first. This policy was last reviewed in September 2019.
